How to Fire Your Accountant

There is a moment most business owners know all too well. You are sitting at your desk, staring at a tax document or a payroll error, and that uncomfortable thought surfaces again: something is not right with my accountant.

Maybe your calls go unanswered for days. Maybe last year’s return had mistakes that cost you money. Maybe you have simply outgrown the relationship and need someone who truly understands small business accounting in the Greater Reading area. Whatever brought you here, one thing is clear — you deserve better.

The good news is that making a change is simpler than most people expect. Here is how to do it the right way.

Step one: Find your next accountant first.

This is the most important move you will make. Before you say a single word to your current accountant, have a new one lined up and ready to go. Talk to them. Walk them through what is happening. A great accountant — one who genuinely cares about your tax preparation, bookkeeping, payroll, and financial peace of mind — will want to know the full picture before they ever touch a file. With me, that conversation is always the starting point.

Step two: Review any agreement you signed.

Pull out your original engagement letter or service agreement. Should it outline specific steps for ending the relationship, follow them. This protects you legally and keeps the process clean.

Step three: Send a formal written notice.

A short letter is all you need. State clearly that services are terminated effective immediately. Ask them to stop work on anything currently in progress. You are under no obligation to explain your reasons. Within that same letter, either request your complete file or let them know your new accountant will be in touch to retrieve it. Be direct and professional throughout.

Step four: Pay what you owe.

Even in a difficult split, outstanding invoices for completed work need to be paid. Handling that promptly protects your reputation and closes the chapter cleanly.

Step five: Hand everything over to your new accountant.

Your new accounting partner will take it from there. They will review your records, identify anything that needs attention, and get your books, payroll, and taxes back on solid ground.

Making this kind of change takes courage. But the business owners who thrive are the ones who refuse to stay in a situation that is not working. Your taxes, your payroll, your bookkeeping — these are the foundation your business stands on. They deserve the same care and attention you put into everything else.
